This post goes over three benefits of using saved filters (also known as “My Filters” or “QuickQueries”) within the Accela Civic Platform. 1. Quickly Access Information by Saving Filters to Use Regularly
Ever get emails requesting the same information over and over? Maybe it’s information needed at regular intervals. Or information for recurring tasks. Or information that’s routinely needed for planning activities.
Whatever it is, you can save yourself time pulling information from the Accela Civic Platform by setting up filters that you can save and use over and over. Depending who’s requesting the information, you may be able to set up a filter that can be used across the organization or with specific modules. This empowers your colleagues with better access to the up-to-date information they need while eliminating clutter in your inbox and reducing demands on your time. The first step is figuring out, in your own words, exactly what you need the filter to do.
When you know the information you need the filter to collect, you only need to build the rules once. Then you can save the filter, and it will appear in a “My Filters” drop-down menu on each screen you view. (If you don’t see a “My Filters” drop-down menu, it doesn’t mean you can’t create a saved filter – there may simply not be any saved filters created yet.) Remember to give your filter a clear, informative title, so others can understand what it does.
2. It’s Easier Than Building a Report, But Just as Useful
Creating a filter is simply easier than building a report. Sometimes, building a report may be the best fit for your needs; when Vision33 partners with a municipality to implement Accela, we take a holistic look at their business processes to determine the reports that will be needed before the system goes live. However, there are always new or unexpected situations that call for an ad-hoc report to be built.
But sometimes, building a report is more work than necessary. That’s why understanding how to create and save filters is essential. If you know you can collect what you need by setting up a filter, you can access the same information with less effort. And if you think you might need that information again, saving it to “My Filters” means it’ll be there the next time you get a high-priority email with the same request.
“It's always a good idea to consider a filter when possible instead of building report,” explains Vision33’s Tara McCullough. 3. Reliably Gather Real-Time Information in a Single Click
We’re all moving fast these days, so it’s crucial to set yourself up for success with systems and processes you can rely on. When you create a filter and save it to the “My Filters” drop-down menu, you create a way to consistently access the same information over and over – with just a single click.
You don’t need to second-guess if you have everything you need, because you’ve already set up the filter. You can have confidence in your click, and know it’s going to bring up the same accurate, up-to-date information it always does. “Once you set up and test a filter, you can be confident that using it will get you the list of items that you need,” says Vision33’s Tara McCullough.
And although your business processes will change over time, filters are easy to update and resave. That way, you know your saved filters are always going to bring up the information you need: quickly, easily, and reliably.
